This website

shootscheduler.com is an informational site. It sets no cookies and runs no analytics or tracking scripts. The contact page has one form. What you enter there, your name, email, business name, and message, is emailed to us so we can reply, and used for nothing else. The same goes for anything you email us directly.

What the service does

ShootScheduler is online booking software used by photography and 3D-scanning businesses ("operators"). Customers use it to get a price, pick a time, and pay the operator for an appointment. The service runs at app.shootscheduler.com.

What we collect from booking customers

Name, email address, phone number, and the property address for the appointment. We may also keep the square footage, any note the customer adds, whether they agreed to text messages, a promo code, the amount paid, and their booking history. This is used to quote and schedule the job, send confirmations and reminders, and let the customer reschedule or cancel. It is shared with the operator they booked. It is also handled by the service providers listed below, which run parts of the booking system. We share with them the information needed for their part of the work.

Service providers

  • Cloudflare hosts this website.
  • Render hosts the booking system.
  • Neon stores the booking system's database.
  • Resend sends booking emails, such as confirmations, reminders and changes. It also delivers messages sent through the contact form on this website.
  • Google Places and Photon, an OpenStreetMap address service, receive the property address typed into the booking form, to find the location and estimate travel.
  • Google Calendar receives booking details when the operator connects a calendar. See the Google Calendar section below.
  • Stripe processes card payments on the operator's own Stripe account and receives the customer's email address to send a card receipt.

Payments

Card payments are processed by Stripe on the operator's own Stripe account. We never see or store card numbers. Stripe's privacy policy applies to payment data.

Google Calendar access (operators only)

An operator can connect their Google Calendar. With the operator's permission, we read events from the primary calendar of the connected Google account to see which times are busy. We also add, move, or remove calendar events for bookings made through this service. Google returns the full details of the events we read, not only busy or free. The booking events we add include the customer's name, email, phone number, any note they left, the property address, and the amount collected. If the operator adds a photographer's email or turns on customer invites, Google sends those people a calendar invitation for the booking. If the operator turns on video meetings, Google Meet adds a meeting link to the event. The operator can disconnect at any time from their settings, which deletes the stored access token.

Use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Email

Confirmations, reminders, and booking changes are sent by email through Resend, on behalf of the operator. Replies go to the operator. We do not send marketing email to booking customers.

Retention and deletion

Booking records are kept so operators have a history of their jobs. A customer or operator can ask for their data to be deleted by contacting the operator they booked with, or by writing to us directly at the address below.
